Syncofy LLC ("Syncofy," "we," "us") operates KOL X at kolx.syncofy.ai. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. We are committed to handling data responsibly and transparently.
When you register for or purchase access to the Service, we collect: your name and professional email address; your organization name; payment information processed securely through Stripe (we do not store card numbers — see Section 5); and, if relevant to your account type, your National Provider Identifier (NPI) number. We also collect standard server logs (IP address, browser type, pages visited) for security and performance purposes. We do not use tracking pixels or behavioral advertising networks.
KOL X displays information about physicians and healthcare professionals sourced entirely from public government databases: CMS Open Payments, NPPES, PubMed, and ClinicalTrials.gov. We do not collect, solicit, or store any private health information from these individuals. We did not obtain this data directly from the physicians themselves — it is published by federal agencies as a matter of public record. No protected health information (PHI) is displayed or processed on this platform.
We use the information collected from customers solely to: create and manage your account; process payments and send receipts; deliver the Service and respond to support requests; send important notices about your subscription (renewal, pricing changes, service updates); and improve the reliability and performance of the platform. We do not sell your personal information to third parties, and we do not use your data to train machine learning models.
All payment processing is handled by Stripe, Inc., a PCI DSS Level 1 certified payment processor. When you enter payment details, that information goes directly to Stripe's servers — Syncofy never receives or stores your raw card numbers. We retain only a Stripe customer token and transaction metadata (amount, date, subscription status) needed to manage your account. Stripe's privacy policy is available at stripe.com/privacy.
We do not sell, rent, or share your personal information with third parties for marketing purposes. We may share information with: Stripe (payment processing); hosting providers operating under data processing agreements; and law enforcement or regulators if required by applicable law. If Syncofy is acquired or merges with another entity, your information may be transferred as part of that transaction, with notice provided to active customers.
If you are a healthcare professional whose information appears in KOL X and you wish to request removal or correction, please email info@syncofy.ai with your name and NPI. We will review and respond within 30 days. Note that because our data originates from federal government sources, we may not be able to remove data that remains publicly published by those agencies, but we will suppress display within our platform upon a valid request.
KOL X is not a covered entity under the Health Insurance Portability and Accountability Act (HIPAA), and no protected health information (PHI) is collected, transmitted, or stored on this platform. The platform does not provide clinical decision support or interact with patient records. That said, we take data security seriously and apply industry-standard protections to all information we handle.
If you are a California resident, you have the right to: know what personal information we collect and how it is used; request deletion of your personal information; opt out of the sale of your personal information (we do not sell personal data); and not be discriminated against for exercising these rights. To submit a CCPA request, email info@syncofy.ai. We will respond within 45 days as required.
We retain customer account data for the duration of your subscription and for up to two years thereafter for tax and legal compliance purposes. We use TLS encryption for data in transit and restrict access to personal data to authorized personnel only. We do not store sensitive credentials in plaintext.
We may update this Privacy Policy periodically. Material changes will be communicated by updating the effective date above and, where appropriate, by emailing active subscribers. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
